    Reporting to the Dean, Faculty of Applied Health and Community Studies (FAHCS),  the Assistant to the Dean and the Davis Campus Principal, performs a variety of complex, confidential administrative functions  in support of the goals and objectives of the Dean, the Faculty and supports college-wide initiatives as directed.  The Assistant provides direct support to the Dean and is accountable for the coordinated process management and administrative leadership of a wide array of procedures, documentation and records critical to the Faculty’s projects and planning initiatives,  communication strategies, operations, processes and policy compliance. As a member of the FAHCS management team, this position works closely alongside, and provides assistance to the Dean, Associate Deans, Managers, and others on the management team in the Faculty.  Due to the confidential aspect of work, considerable discretion and judgement is required.

     

    Specific Responsibilities Include:

    • Developing, implementing and monitoring administrative procedures to ensure the efficient operation of the Office of the Dean
    • Managing the daily activities for the Office of the Dean, including preparing correspondence, scheduling appointments, and reviewing and assessing communications
    • Providing administrative support and related logistics, documentation, preparation and follow up for internal and external committees and meetings
    • Providing administrative support to Faculty committees, initiatives, partnerships, joint ventures, policies and Councils
    • Providing updates to the Dean regarding ongoing campus or Faculty projects (i.e., renovations) and reporting back on follow-up items
    • Implementing procedures and processes for records management that are compliant with legislative requirements (eg. Freedom of Infomration and Protection of Privacy Act)
    • Developing, updating and maintaining a database of external clients e.g. Program Advisory Committee (PAC), Alumni including notes from visits, meetings etc.
    • Tracking/managing projects that have college-wide, Faculty impact
    • Managing adminstrative components related to special events or activities in the Faculty
    • Helping organize events for Faculty as they relate to faculty professional development, faculty meetings, special events, retreats for faculty and staff, convocation, etc.
    • Performing other related duties as assigned

    Qualifications:

    • 3 year degree/diploma, preferably in Business, Office Administration or other related field, along with 5 years of progressive experience providing senior level administrative support within a post-secondary environment (preferred) or a business environment (or an equivalent combination of relevant education and experience)
    • High level of proficiency with current office applications and technologies
    • Experience coordinating projects and events
    • Effective interpersonal and communication skills with a high level of professionalism, discretion, diplomacy & tact
    • Exercises sound judgement, flexibility and resourcefulness
    • Ability to develop collaborative work processes and effective teams
    • Ablility to deal with faculty and students on a variety of issues
    • Well-developed organizational, planning, project administration skills
    • Able to calmly handle a demanding workload, with changing or conflicting priorities and able, multi-task, track multiple projects
    • Self- directed and displays initiative
    • Strong analytical approach to complex problem solving and conflict resolution skills
    • Experience developing web materials, surveys, newsletters and experience in a post-secondary environment would be considrered an asset
    • Experience with project management is an asset
