Reporting directly to the Payroll Manager, the Coordinator is responsible for providing general administrative support to the Payroll department. The major responsibilities of the Coordinator include: using the Time & Labor Module of PeopleSoft HR for electronic timesheet consolidation, entry and follow-up for part-time (PT) hourly employees and full-time (FT) overtime (OT) hours; auditing of OT reporting to ensure compliance with the Employment Standards Act (ESA) and Collective Agreements; entry of all Academic Non-Teaching special payments and other non-employee special payments, including those in foreign currency, into PeopleSoft HR; all Record of Employment (ROE) reporting for Service Canada. The Coordinator is also responsible for daily mail runs, tracking of office supplies and managing the archiving of PT employee files. As a back-up function, the Coordinator supports the Payroll Associate with pay-related responsibilities during peak periods and assists with the creation of PT new employee files.
Specific Responsibilities Include:
• Bi-weekly collecting, consolidating, and formatting for upload the electronic information
submitted by email. This includes regular hours for PT employees and the following earnings for FT employees: Call Back Pay, Double Time, Lead Hand Premium, On Call Pay, Overtime and Shift Premiums;
• Performing a variety of pre-determined data integrity checks which include advanced Excel functions such as
MACRO, and VLOOKUP;
• Ensuring overtime is paid according to the appropriate rules per employee group (e.g. Employment Standards or
Collective Agreement regulations);
• Identifying, investigating and correcting all variances to allow for a successful up-load to PeopleSoft HR;
• Entering payroll transactions and PeopleSoft Job Data records to ensure accurate and timely remuneration of
wages for all Sheridan employees; and non-employee payments;
• Using Service Canada’s ROE WEB software to report insurable hours and earnings online for all employee types;
• Supporting Payroll function during peak processing periods and vacation coverage;
• Completing daily mail runs; receiving, stamping & organizing the daily incoming/outgoing mail;
• Other related duties as assigned.
The successful candidate will possess a 1-year certificate in Human Resource Management, Accounting/Finance or related field, and the Payroll Compliance Practitioner (PCP) designation from the Canadian Payroll Association (or working towards the designation), and a minimum of 2-years of experience working in Payroll, HR, Accounting or Finance with exposure to large business information systems (like PeopleSoft). The successful candidate will be well versed in Microsoft Office Suite including Word, Excel, and Outlook, and have advanced Excel skills (including experience using Macros). Thorough and current knowledge of PeopleSoft HR Version 9 is strongly preferred, and knowledge of PeopleSoft Time & Labour module will be considered an asset. Knowledge and experience with accounting principles, mathematical calculations, and general ledger distributions will also be considered an asset. Excellent oral and written communication skills and developed interpersonal and organizational skills are essential. The candidate must be professional, able to maintain confidentiality and thrive in a fast-paced team environment.
