    Reporting to the Associate Dean, School of Skilled Trades and Apprenticeship, the incumbent provides front line administrative, organizational, clerical, and secretarial support for the day-to-day operations and special activities within the School, and plays an important role in planning, decision-making, and organizational processes. The incumbent ensures accuracy of program and student information, and provides and important link with agencies, organizations and individuals, both internal and external to Sheridan. The incumbent helps organize and co-ordinate School projects, and special events. The incumbent provides front line support to students, faculty, and staff.

     

     

    Specific Responsibilities Include:

     

     

    • Providing clerical support to the Associate Dean, School of Skilled Trades and Apprenticeship, including document and information management, budget monitoring, scheduling meetings and appointments, composing correspondence and taking minutes at department meetings;
    • Acting as the first point of contact for faculty, and student inquiries and issues;
    • Coordinating the administrative orientation for new faculty members;
    • Assisting faculty members with timetable conflicts and last minute scheduling changes, resolving room conflicts, and advising students of canceled classes via established processes;
    • Organizing and coordinating program–related special events, and non-full time recruitment activities (i.e. open houses, internal and external networking events, etc.);
    • Liaising with external vendors;
    • Providing general information according to Sheridan’s policies and procedures;
    • Explaining operational policies and procedures to students, faculty and staff;
    • Providing support to the School of Skilled Trades and Apprenticeship with regards to registration activities (i.e. providing students with timetables, and program selection sheets);
    • Liaising with the Office of the Registrar and other Sheridan departments to resolve queries;
    • Assisting faculty with grade input;
    • Attending meetings, preparing agendas and taking minutes;
    • Maintaining student records (i.e. student personal information, and grades);
    • Performing other related duties as assigned.

     

    Qualifications:

     

     

    The successful candidate should possess a 2 year College diploma in Business or Office Administration, or an equivalent combination of relevant education and practical work experience. In addition, a minimum of 3 years of office experience is preferred. The incumbent must demonstrate an ability to work in a team environment, the ability to problem solve, organize and prioritize duties, make decisions, work independently, and deal with conflicting deadlines. The ability to research, collect, and synthesize data is also required, as are above average organization, communication and human relations skills. Computer proficiency in current College computer systems, and an understanding of the functionalities of work processing, database, and spreadsheet applications.
