    Reporting to the Associate Dean of Applied Computing, Faculty of Applied Science and Technology (FAST), the incumbent provides front line administrative, organizational, clerical and secretarial support for the day-to-day and special activities within the School and plays an important role in the decision-making, planning, and organization processes.  The incumbent ensures accuracy of program and student information and provides an important link with agencies, organizations and individuals, both internal and external to Sheridan.  The incumbent helps organize and co-ordinate School projects and special events. 

     

    Specific Responsibilities Include:

     

    • Serving as the initial contact person for student inquiries in-person, and via electronic communication;
    • Assisting students and, if necessary, making appointments with the program co-ordinators or the Associate Dean;
    • Providing general information according to Sheridan’s policies and procedures;
    • Providing administrative services and support to FAST committees (i.e. organizing meetings and contacting members, attending meetings, taking notes and transcribing into minutes, preparing and distributing agendas, minutes and other materials, etc.);
    • Maintaining and updating security system access cards for FAST;
    • Ordering office supplies for the School;
    • Assisting with the preparation of documentation associated with the planning of program and curriculum requirements in conjunction with Program Advisory Committees;
    • Creating and maintaining the master term distribution lists for the School, including email address lists;
    • Participating as a contributing member of the School Support team;
    • Assisting in coordination and planning of special events such as College Day, Orientation, Open House, Career and Networking Events, Awards and College Convocation events;
    • Performing work on special projects, as assigned.

     

    Qualifications:

     

    The successful candidate should possess a 2-year College diploma in Business or Office Administration, or related/relevant field, along with practical work experience.  A minimum of 3 years of administrative experience in an office environment is preferred.  Experience working in an academic environment will be considered an asset.  Familiarity and knowledge of the disciplines associated with the assigned cluster of programs is necessary. The successful candidate will demonstrate an ability to work in a team environment, to problem solve, organize and prioritize duties, make decisions, work independently and deal with conflicting deadlines. The ability to research, collect and synthesize data is also required as are strong organizational, communication and human relation skills.   Computer proficiency in a Windows environment, with an expertise in Microsoft Word and Excel, is required.  Familiarity with College systems, including PeopleSoft, will be considered an asset.
