Reporting to the Manager, Health Centre/Nurse Manager the incumbent is responsible for providing initial contact (reception duties), administrative, and referral functions as required for the operation of the Health Centre. The incumbent will perform all support functions necessary to effectively and efficiently direct and support students and others in accessing health care services and maintain operations.

 

 

Specific Responsibilities Include:

 

  • Providing front desk coverage by greeting and referring clients and visitors. Responding to a wide variety of inquiries from students and internal and external sources, which may be received in person, by phone or e-mail;
  • Providing information regarding policies and procedures, accessing services, intake process, documentation requirements etc.;
  • Screening and prioritizing clients’ needs by inquiring about support being sought and collecting required information for charts (confirming health insurance, contact and other relevant information);
  • Booking client appointments with internal physicians and referrals, while preparing client charts;
  • Maintaining filing system of all client records/charts (developing, filing, assembling or making-up new charts etc.). This may also include the maintenance of an electronic medical record (EMR);
  • Completing referral forms and contacting specialists to make appointments for clients, while ensuring internal processes are completed;
  • Preparing paperwork (consent forms, lab labels etc.);
  • Establishing and maintaining effective office and billing systems/procedures including: mail pick-up, processing and distribution, maintaining inventories of oral contraceptives and other medical supplies;
  • Tracking invoices, issuing receipts, making deposits and submitting monthly calculations etc.;
  • Maintaining and distributing information, revising and photocopying forms and documents (i.e. WSIB information booklets). Making requested changes to policies and procedures, correspondence, daily record sheets etc.;
  • Compiling and maintaining statistical revenue of the Health Centre and documentation records;
  • Other duties as assigned.

 

Qualifications:

 

The successful candidate will have completed a 2-year diploma in Office Administration along with a minimum of 2 years of experience working in an office environment carrying out reception or customer service duties, preferably in medical setting, (or an equivalent combination of relevant education and experience). Previous experience with an electronic medical record (EMR) or demonstrated ability to work with computerized records systems would be an asset. The successful candidate will also have excellent written and verbal communication skills.  The ability to maintain confidentiality and multi-task in a fast-paced, continually changing, demanding and multicultural environment is essential. A willingness to work independently and in a team is also required.
