Reporting to the Manager, Event Services, the Event Services Coordinator (PT) ensures a high quality and professional image for Sheridan by effectively assisting with the overall execution of events including planning, coordinating, executing and evaluating a variety of large, key, complex external and internal corporate and special events.


Specific Responsibilities Include:

  • Assist with developing new events from concept to completion by planning, coordinating, executing, and physically setting up logistics of the physical, visual and sound components of a variety of events, setting objectives and strategies, and appropriately managing events to ensure Sheridan’s quality reputation is enhanced;
  • Assist with the planning of events that comply with all legislation, policies, and guidelines of Sheridan, including all health and safety and fire codes, following risk management protocols and overcoming obstacles that may present themselves;
  • Assist with developing plans and/or executing appropriate promotion, marketing, and communication of events;
  • Ensuring detailed protocol appropriate to public and private VIP representatives and guests are followed;
  • Assist in preparing detailed event scripts for key speakers for delivery by the President, Vice Presidents, College officials and other dignitaries on a minute-to-minute basis for major events;
  • Creating a welcoming environment by coordinating and implementing logistics for invitations, RSVPs and guest lists, special arrangements or equipment;
  • Liaising with suppliers to ensure contracts are fulfilled and timelines and pricing quotes are being met;
  • Assisting with the recruiting, coordinating and overseeing event volunteers as needed;
  • Offering guidance and advice to other departments who might be hosting VIPs, political figures, dignitaries etc.;
  • Organizing all physical requirements at location/venue, specific to conference and events such as staging, seating and equipment rentals, electrical requirements, parking, security, special needs requests (wheelchair accessibility);
  • Acting as a consultant, providing advice and leadership to Sheridan faculties and departments planning their own events;
  • Performing other duties as assigned.



The successful candidate will have a 2-year diploma in the field of hospitality, tourism, event management, business, public relations or a related discipline along with a minimum of 2 years practical experience with large scale, complex conference and event planning, execution and project management is required (or an equivalent combination of education and experience). The successful candidate will have experience managing budgets, invoicing, processing financial materials in a timely fashion, working independently and solving a wide range of problems. The position requires the ability to work under pressure, handle several projects at once and meet deadlines. The incumbent must have some experience/exposure to working with VIPs, dignitaries, MPPS, MPs, mayors, government officials, etc. and understand protocols. The ability to use word processing, Financial Information Systems, spreadsheet, and calendaring software, as well as to perform email/internet functions is required. Knowledge of Caterease software is an asset. The incumbent must have a valid drivers’ license and access to a reliable vehicle.
